    Invoice Generator

    🇬🇧 United Kingdom version

A UK invoice for a VAT-registered business needs the VAT shown as its own line and the supplier's registration number printed on it. This version opens in pounds, sets VAT to the 20% standard rate, adds a VAT registration number box under your details and lets you switch to the 5% reduced or 0% zero rate.

    United Kingdom rules and figures

    • GOV.UK lists three VAT rates: a 20% standard rate, a 5% reduced rate and a 0% zero rate. The invoice generator offers all three in the rate menu.
    • Zero-rated goods still carry VAT at 0%, so a zero-rated invoice shows a VAT line of £0.00 rather than leaving the line out.
    • The generator opens in pounds sterling with VAT at 20%, and it labels the business number box as the VAT registration number.

    How the invoice generator works

Each line is quantity times rate. The discount is taken off the subtotal, then VAT is charged on what is left and added to give the total. All of it is rounded to the penny at each step.

    total = (subtotal − subtotal × discount%) × (1 + VAT rate), each step rounded to £0.01

    • A new invoice starts at 20% VAT, the standard rate. The menu under the dates also offers the 5% reduced rate and the 0% zero rate, and the VAT rate (%) box accepts any figure you type.
    • Your VAT registration number goes in the box with that name under From (Your Information). It prints under your address in the PDF, exactly as you typed it, and the tool does not check it.
    • VAT is one rate for the whole invoice. If one invoice mixes standard-rated and zero-rated lines, make one invoice for each rate.
    • Dates show as day, month, year, and the currency opens as GBP. Switching currency changes only the symbol and does not convert any amount.
    • The PDF is A4 and the document is titled Invoice. The draft is kept in your browser as you type, and a deleted line waits under Recently deleted until you restore it.

How to use the invoice generator

    1. Set the number, dates and VAT. Give the invoice a number, check the date and due date, and leave VAT at the standard rate or pick the reduced or zero rate for your goods.
    2. Add your VAT number and the client. Under your own details enter the VAT registration number, then fill in the client's name and address.
    3. List what you are charging for. Add one line per job or product with a description, how many, and the price for each in pounds.
    4. Check the totals and save the PDF. The preview shows subtotal, discount, VAT and total. Download the PDF, or copy the plain text into an email.

Example: £3,000 of work with 5% off and 20% VAT

One line of 40 hours at £75 gives a subtotal of £3,000.00. A 5% discount takes off £150.00, leaving £2,850.00 to charge VAT on. At the 20% standard rate the VAT is £570.00, so the invoice total is £3,420.00. Had VAT been charged before the discount it would have been £600.00, which is why the order matters when you check a figure against a client's purchase order.

When to use the invoice generator

    • Billing a client as a VAT-registered business. Enter your registration number and the 20% VAT line prints on the PDF beside the subtotal.
    • Zero-rated or reduced-rate supplies. Pick the 0% or 5% rate from the menu so the VAT line matches the goods you sold.
    • Checking a client's purchase order. Type their quantities and prices to see whether your VAT and total agree with theirs to the penny.
    • A quick quote before you register. Set the VAT rate to 0 and number the document as a quotation until you are charging VAT.

What the invoice generator does not do

    • One VAT rate and one discount cover the whole invoice. Lines at different VAT rates need separate invoices.
    • Prices are treated as excluding VAT. A price that already includes VAT has to be divided by 1.2 by hand first.
    • The VAT registration number is printed as typed and is not checked against any register.
    • The tool does not add legal wording, sequential numbering or reverse-charge notes. Check what your own invoices must show with HMRC.
    • Changing the currency changes the symbol only. Pounds are not converted to euros or dollars.
    • The PDF font is Latin only, so characters outside it print as a question mark.

When something else is a better fit

    • When you file Making Tax Digital returns or send invoices every week, use accounting software that connects to HMRC.
    • When you want to know how much income tax a freelance year costs, use the Tax Calculator.
    • When you are deciding on a discount before quoting, use the Discount Calculator.

    Questions about the invoice generator

What VAT rate does the invoice use?

It opens at 20%, the standard rate. Use the menu for the 5% reduced rate or the 0% zero rate, or type another figure in the VAT rate box. The choice applies to every line.

Is VAT worked out before or after the discount?

After. On £3,000.00 with 5% off, VAT at 20% is £570.00 on £2,850.00, not £600.00 on the full amount.

Where does my VAT registration number go?

Type it in the VAT registration number box under From (Your Information). The PDF prints it under your address as "VAT registration number" followed by what you typed.

    Can I show VAT-inclusive prices?

Not directly. Every rate is treated as net. Divide an inclusive price by 1.2 to get the net figure at the standard rate, then enter that.

Does the tool send my invoice anywhere?

No. The PDF is built on your device and the draft sits in your browser's local storage, so clearing site data removes it. Download the PDF for your records.
